What was the problem to be solved?

The client wanted a holistic view of their donors, dogs, fosters and adopters in one place. They wanted adoptable dogs to automatically show up on their website. They wanted customizable adoption and foster forms, a way to keep track of where dogs went, and followup information. They wanted to own all of their own data, instead of having it broken up between multiple service providers.

What was the old system?

In their old system, would-be adopters and fosters had to fill out PDF documents and email them to the rescue. Donations came through Network for Good, which cost the organization $4K/year. Dog data was kept at Pawlytics, which in addition to costing $50/month, did not provide the flexibility they needed, or the possibility of relating donations to adopters and members.

How did Civi provide a solution?

Greenleaf created a custom CiviContact type for dogs, with fields for important data such as medical records, adoption dates, origin, age and weight. Adoptable dogs automatically show up on the front end of the website. We created CiviForms for foster and adoption applications, and this information becomes a part of the constituent records. With our custom search kit, managers can easily search through thousands of records to find pet owners and the dogs they adopted. Greenleaf imported all of the data from Pawlytics and Network for Good and set up a custom adoption and foster workflow, including a back end for connecting would-be fosters and adopters to available dogs.

Using SearchKit, Greenleaf created an Adoption Management Dashboard so that coordinators can easily see all applications, who requested them and when, and adoption status.

Greenleaf used searchkit to create a dog search dashboard so that coordinators can easily see and update the adoption status of any given dog.  

  In addition, Greenleaf used YooTheme templates to generate a front-end display of adoptable dogs and single-page detail displays for each dog.

What were the Operational Benefits of Our System?

By using CiviCRM’s core CiviContact module in conjunction with FormBuilder and SearchKit, Greenleaf provided a stable, standardized and replicable adoption management system without custom code. Instead of relying on spreadsheets and paper filing, coordinators can view real-time status of all dogs and adoption, thus keeping the history of the Rescue safe through changes in personnel.
